File list view
The layout of the file structure view is similar to that of the normal workspace: The actual file structure (similar to the page tree) is located in the left-hand section, while the actual workspace is located in the right-hand section. In the initial state, the list of available folders and files in the selected folder is displayed there.
You can access the TYPO3 file structure via the "File list" item in the "FILE" area of the navigation on the left-hand side. When the menu item is selected, the file structure view opens. In the case of a newly created website, this is still empty.
As usual, the option buttons are located in the header area of the workspace:
- Go up one level (within the file structure)
- Upload file
- New (e.g. create folder, embed videos)
Important to note
- It is mandatory that the folder structure in Fileadmin must correspond to the page structure at least up to the third level.
- Photo folder in Fileadmin is predefined: In addition, there is a photo folder in each folder in which all photos must be saved. The reason for this is legal security. The maintenance of the document management is very important in the website: The costs for warnings will be charged to your institution.
- Always enter the copyright of the images in the metadata!
Step-by-step
The folder structure in the file list corresponds to the page structure at least up to the third level.
Especially on larger websites, it is advisable to have an organized file structure and to enter the files there. To achieve such a structure, directories can be created using the "New folder" button. An input mask then appears on the desktop, which can be used to create new directories. By changing the "1 folder" selection field, up to 10 folders can be created at the same time. After selecting the directory name, the changes are created by clicking the "Save" button above the workspace.
Back to the list of documents and folders in the current directory, the folder just created is now also displayed and can be selected there.
Click on the "Upload files" button in the header area to open a selection field marked with a dotted line in the page area:

There are two upload options: Drag and drop the desired file from the desktop into the selection field. The file icon then turns green and the file can be created there. Or the file upload is started by selecting it in your own file browser.
After uploading, the file appears in the list. The file can be edited further via the"Extended view". The following options are available:
Edit the metadata of this file:
To edit this file data, click on the pencil icon in the overview. In the "General" tab, the following should be highlighted: "Title". TYPO3 automatically generates this name from the file name of the uploaded file. However, this is often quite confusing, especially if files contain cryptic identifications or abbreviations. As this title is relevant to search engines, we recommend a plausible title. The"Alternative text" and a caption for accessible design are also legally mandatory. The"Copyright" field must be completed in the "Metadata" tab. On the web pages, this designation is then placed vertically at the top right-hand edge of the graphic or photo.- If a new version of the file is uploaded, make sure that it has the same file name. If you assign a different (new) name for archive purposes, the file must be re-linked on the actual page later. If you "replace" the file, it will be updated wherever the previous file was included.
- In the overview of a folder, there is a "Delete" button for each folder or file. This button can be used to initiate the deletion process and the selected file is removed from the file structure.
- Folders are not deleted by default if their contents are still present. This can be avoided using the "Delete recursively" option, which must be selected in the user settings. Further information on this option can be found under Basic operation -> Account settings. Attention: Deleted files are permanently deleted and cannot be restored.
