General

Only a small number of employees are currently working with the DMS. The first processes have been converted and are mapped using the d.velop documents software from d.velop AG. Due to the numerous interfaces between the university administration and the university's other organizational units, the changeover will directly or indirectly affect the majority of employees in the future. Most employees will process processes in the DMS software regularly or at least occasionally in the future and will therefore require DMS access.

To access the DMS via your computer's browser, please enter the following link: https://dms.uni-kassel.de. To log in, use your UniAccount and the corresponding password. Your UniAccount must be preceded by the character string its-ad\ - example: its-ad\ukxxxxxxxx.

If you are unable to log in to the DMS in this way, please contact the IT Service Desk.

Employees of the University of Kassel can already log in to the DMS. However, many employees do not currently have specific authorizations in the DMS to start or participate in processes. Only employees who are working with the DMS on a trial basis or already regularly have appropriate access rights.

The functional scope of your personal DMS access depends on what you need it for. Employees from different organizational units can control different processes.

To gain access to specific processes in the DMS, please contact dms-projekt[at]uni-kassel[dot]de.

There is currently a problem with logging out of the DMS software, which the software manufacturer has not yet been able to resolve. You can safely log out of your browser by opening the DMS software in a private browser window and closing it again after using the software.

A quick guide on how to deal with the problem and open a private window in your browser is available here: Logout in DMS temporary handling.

Yes, the software can only be used in the university network (LAN or eduroam) or with an active VPN connection.

If you want to edit an MS Office document in the DMS, you will usually receive a Windows security message and will be asked to enter your account name and password again. Please enter your UniAccount ("its-ad\" must be placed in front) and the corresponding password. If you have previously logged in to the DMS with a secondary account, you must also use the login information of the secondary account here.

For self-managed devices, your Office version may block this login prompt. If this is the case for you, you must define the DMS website in the Office Trust Center as the host that is allowed to display login prompts. If you need assistance with this, please contact your department administrator.

To keep track of your processes in the DMS, you can use the workflow dashboard (also known as the workflow overview ). You can use the workflow dashboard to find your workflows (processes) and check which processing step they are currently in. You can access the workflow dashboard via the start page in the DMS by clicking on the corresponding tile. You can find instructions on how to use the workflow dashboard in our instructions in the Basics section.

Auxiliary staff matters

In principle, auxiliary staff can request an employment reference independently from the relevant HR department. They will then prepare and start the reference process in the DMS. If an assistant requests their reference from the department's secretariat or their line manager, the request can also be forwarded from there to the HR department.

The departments and divisions decide internally who edits the contents of a job reference in the DMS. The evaluation of an assistant's work performance is usually carried out by their superiors. Whether they edit the content of the reference directly in the DMS or are supported by employees is a decision made by the departments and divisions.

Unfortunately, external assistants cannot be hired in the DMS using the hiring application. DMS users are managed via the University of Kassel's identity management system (IDM). As this in turn requires a UniAccount, only students of the University of Kassel can access the DMS via this. It will not be possible to authorize external persons to use the DMS in any other way for the foreseeable future.

Yes, the personnel form can also be displayed in English. To do this, the browser language must be changed to English.

Training courses

You will find an overview of the DMS training courses offered on our website. There you will find information on who each training course is suitable for and a description of each course, including a list of the course content.

The DMS training courses are aimed at all members of the University of Kassel who work with the processes mapped in the DMS. Who is responsible for a process or task varies depending on the department. If you are unsure whether you need a particular training course for your work, please consult your department, group, etc. for advice.

We do not offer training for auxiliary staff. Auxiliary staff can find explanations of the "Fill out personnel form and upload documents" process step in the form of PDF instructions and a video tutorial under Instructions.
