Leave of absence

Reasons for leave of absence

You can be given leave for an important reason if you apply for it, particularly if

  1. you are involved as an appointed or elected representative on an academic or student administrative body (you must provide the relevant evidence);
  2. you are sick and this disqualifies you from studying in the normal manner. A doctor must certify that you are sick and indicate the probable time of absence;
  3. you are completing compulsory service (e.g. military or community service);
  4. you are spending time abroad related to your studies (please submit confirmation from your faculty). You cannot apply for leave of absence for any periods of time spent abroad if they are an integral part of your course according to the examination regulations (compulsory semesters);
  5. you are spending time on maternity or parental leave (you must attach the relevant evidence – a birth certificate/maternity card);
  6. you are caring for a relative (please attach an assessment from a medical service, which indicates the name of the person and the number of hours and days required for the person needing care);
  7. you are completing an internship that is related to your course (not BPS) – you need to provide evidence of this from your faculty.

Important information

You can only take leave of absence if you have paid the semester fees.
________________________________________
You must provide the reasons for your leave of absence in your letter of application.
________________________________________
Semesters on leave do not count as regular semesters.
________________________________________
You cannot take leave for a semester that you have already completed in retrospect.
________________________________________
Leave of absence is only possible for complete semesters.
________________________________________
Any leave of absence is only possible for up to six semesters – unless you are sick. Maternity leave, parental leave or compulsory service do not count in this respect.
________________________________________
Any leave of absence during the first regular semester is only possible as an exception (e.g. if you are ill).
________________________________________
You may not take leave of absence for the purpose of gainful employment.
________________________________________
You may not normally earn any credits or take examinations. However, the following exceptions apply:
• Retaking examinations, in general
• If leave is granted for maternal leave, parental leave or nursing care
• If leave is granted for activities on a committee
• If leave is granted for compulsory service

Please note too that ...

  • ... international students must inform the foreigners’ registration office about any semesters on leave that have been granted. It is possible that several semesters on leave do not serve the “purpose of your stay” (i.e. study) and can create problems when extending your visa;
  • ... the number of regular semesters or a semester on leave may affect your BAföG, child benefit and/or the duration of your student health insurance. The relevant authorities can provide you with more detailed information (the BAföG office, the child benefit office, your health insurance scheme);
  • ... any "student part-time work", which is not a “mini-job” (i.e. your income exceeds EUR 520) may affect your social insurance obligation (please obtain information from your employer).
