DFN appointment planner

Field of application

The DFN appointment scheduler supports data protection-compliant appointment scheduling, coordination and booking lists for meetings, teaching and administrative tasks. Appointments or simple surveys can be created online and coordinated with any number of participants.

Who is it suitable for?

All members of the University of Kassel (employees, lecturers, students) - especially teams, project and examination committees or service units that need to coordinate appointments or time slots.

Responsibility

Operation and support are provided by the IT Service Center (ITS); the technical platform is hosted by the German Research Network Association (DFN).

2. short description

Description

The browser-based tool offers two modes:

  • Appointment survey for classic date/time coordination.

  • Booking list for reserving predefined time slots (e.g. office hours).
    Access is anonymous or via Shibboleth login with UniAccount, which makes it possible to manage your own surveys centrally.

Alternatives

Outlook appointment survey in Microsoft or the Campus Events event system for more complex event workflows.

Practical examples

  • An examination board proposes several meeting dates; the members select the appropriate slot online and the organizer can send the selected date to the participants by e-mail from the system.

  • A lecturer uses a booking list to create 15-minute consultation hours and students reserve free time slots themselves.

5. technical requirements

Prerequisites

Current web browser and internet access. To create and later edit surveys, we recommend logging in with a UniAccount; participants can also vote without an account.

Account and login

  • Call: terminplaner6.dfn.de

  • Select "Login → Login → Federated Log in", select "University of Kassel", then log in with UniAccount.

  • Surveys can be created anonymously without a login; a processing token is sent as a link by email to the organizer

9. special notes (data protection, terms of use)

Data protection and security

Storage and processing take place exclusively on DFN servers in Germany in accordance with the GDPR; surveys are automatically deleted after six months. Access is encrypted (HTTPS); with UniAccount login, no personal data other than the first name, surname and e-mail address are transmitted to third parties.
