Document management system


1. basic information

Field of application

The document management system (DMS) at the University of Kassel is used for the central administration of electronic files and documents (e.g. contracts, invoices, applications) as well as digital, process-oriented transaction processing in all administrative areas. The aim is to gradually replace paper-based processes with electronic workflows in order to increase efficiency and transparency.

Who is it suitable for?

The DMS is being introduced step by step together with the specialist departments responsible for the respective processes. As the system supports numerous processes at the interfaces between the central university administration, the departmental administrations and other organizational units, the majority of employees will work with the DMS in the future. Access rights to processes and documents are based on the respective field of activity and the specific tasks of the employees.

Responsibility

The DMS is being introduced as part of the project "Introduction of digital document-supported transaction processing" and is managed jointly by the IT Service Centre (ITS) and the Department of Human Resources and Organization. The DMS is managed by the ITS of the University of Kassel. Further information can be found on the DMS project website.

The DMS of the University of Kassel is a browser-based software solution that enables the database-supported management of files and documents as well as the digital control of workflows. It supports secure access to files and documents and replaces paper-based processes.

Practical examples

Hiring student assistants:
Employees can use the DMS to complete the digital application form for student assistants and coordinate the process.

Creation of employment references for student assistants:
The application for and creation of employment references for student assistants is done digitally via the DMS, including processing and forwarding to the relevant departments.

Data protection and security

The DMS is used in compliance with the data protection regulations of the University of Kassel. Access is restricted to the university network and user administration is carried out via the central identity management system.

Legal notices and license information

The document management system (DMS) is provided as part of a university-wide solution. It is used on the basis of existing license agreements of the University of Kassel.
