SAP WPS (goods ordering system)

WPS (Web Procurement System) serves as a supplementary procurement tool to SAP and is used at universities to enable standardized, efficient and transparent ordering processes - especially for IT end devices - via a web browser.
This system is available to university employees with a corresponding training certificate - especially employees who have to order hardware or services via university framework contracts.
The IT Service Center provides access and operation of the system. The personnel development and finance departments are responsible for activation and training.
2. brief description
WPS is a browser-based add-on tool for SAP that is used to process orders - especially for end devices - centrally and digitally. It ensures compliance with framework agreements and enables simple user guidance through the ordering processes.
3. main functions
- Orders in the framework agreement: End devices such as PCs, notebooks and monitors can be ordered via WPS - always at the agreed conditions.
- Access control via training: WPS accounts can only be assigned after successful participation in SAP MM training.
- Selection of offers and accessories: Models and price options can be viewed in the system under the "Offers" tab. Additional equipment such as RAM or larger hard disks can be specifically selected.
4th deployment scenario
- Example 1: Administration employees would like to order a new monitor. They log in to WPS, search for the right model in the framework agreement, select the option "with additional RAM" and complete the order directly.
- Example 2: A teacher needs a replacement notebook. After attending the WPS training course, she receives an account, selects the right device in the system, places it in the shopping cart and has the order approved by the IT department - all digitally and in accordance with the rules.
5. technical requirements
An Internet browser and a valid WPS account are required. The account is activated after the two-day SAP MM training course.
6. use and access
You can log in via your browser using your personal WPS account. The account is activated after completion of the SAP MM basic training course, which is organized by HR Development. Activation is carried out immediately after the training.

WPS requires attendance of the basic training course "Purchase orders/service orders with SAP MM". Further activation is coordinated directly with the participants at the end of the two-day training course. Training dates are announced by the HR Development and Finance departments.
9. special notes (data protection, terms of use)
The system requires a personal WPS account, replaces paper-based processes and thus ensures traceability. Specific data protection information is provided on internal pages (e.g. ITS or user regulations).
By using the system exclusively for orders within existing framework agreements, purchasing guidelines are adhered to. IT procurement is binding within the framework of the applicable contracts, which ensures transparency and budget compliance.
