Sciflow licence

Following a successful test phase at the end of 2023, the University of Kassel has decided to get a SciFlow for all members.

SciFlow is an online tool for collaborative scientific writing. It simplifies the creation of publication-ready articles as well as the writing of papers, theses and term papers.

From May 1, 2024, all members of the University of Kassel will have access to the Pro function of the platform for an initial period of one year.

Introduction to Sciflow

Sciflow offers regular free webinars in German and English to make it easier for users to get started. Sciflow also provides regularly updated recordings of webinars and explanatory videos.

Questions and answers

Sciflow is a platform for creating scientific texts. The most important functions of Sciflow are

  • A document can be edited and commented by several authors at the same time.
  • Change tracking allows to see changes made by co-authors and to make versioning changes.
  • Large selection of journal templates and citation styles with which the document is automatically formatted during export.
  • On request, selected institute-specific templates for term papers, bachelor's and master's theses.
  • References can be imported from all common literature management programs.
  • References are simply dragged and dropped into the right place. SciFlow takes care of the formatting automatically.
  • Texts existing in Word documents can be easily inserted into the editor.
  • Documents can be exported as Word file, PDF, HTML or JATS export.
  • All data is stored anonymously on servers in Germany.

The most important advantage is that with SciFlow all the tasks involved in a publication or student work are efficiently handled on one platform. The effort to create a publication is reduced and researchers have more time to research, students to study.

The collaborative writing function makes joint publication easy - whereby the data and content are located entirely in Germany and are handled in a DSGVO-compliant manner.

 

Registration is done via your Uni-Kassel address. Simply visit https://sciflow.net/de/uni-kassel/start and create an account. This is then automatically activated for all Pro features.

In the free version, Sciflow already offers many functions, such as collaborative writing, the integration of reference managers (Zotero, Citavi, Endnote), a basic spell checker and export to various formats.

In the pro version Kassel University Memmbers will additionally get:

  • Premium support
  • Use of numerous predefined journal templates with the corresponding citation styles.

What data is stored?

SciFlow's online word processor stores all written texts. Users have the option to enter profile information, such as name and address of the research institution, as this is often also part of the submission to the publisher. All entries are voluntary. For support and usage statistics, Sciflow also collects some data automatically, such as the browser used and IP address.

Cookies of the website do not have to be accepted.

Where is data stored?

All written texts are stored on servers located exclusively in Germany.

Is data passed on to third parties?

Data is only passed on to third parties if this is necessary to fulfill the terms of use (e.g. data center service providers). If a user account belongs to an institution with a SciFlow license, the institutional email address used for registration as well as anonymized usage data may be passed on to an administrator in order to prove the use and success of SciFlow at the institution. Usage data and personal data are generally separated.

Sciflow explicitly excludes selling or otherwise commercializing user documents. User data is not Sciflow's business model.

Will my data be shared with third parties for advertising or affiliate programs?

No.

Who at SciFlow has access to my data?

Sciflow has separate responsibilities and thus organizationally limited access to data. User data may only be accessed in the context of support and with the prior consent of the user.

Passwords are stored exclusively in encrypted form. Passwords cannot be reconstructed even by Sciflow.

How can I delete my account and all related data?

What security standards does SciFlow use?

SciFlow operates a document server from certified data centers in Frankfurt/M (ISO 9001, ISO 27001, PCI-DSS, SSAE16 / ISAE3402) and Karlsruhe (ISO 27001). Physical and technological access are limited to necessary personnel. All connections from the SciFlow app are SSL encrypted. Security-critical aspects of the application (such as authentication) are secured by rate limits and additional encryption (one-way encryption for passwords). To secure the underlying operating systems, in addition to Linux security profiles (AppArmor) comes the separation of services into containers (Docker) due to the SciFlow architecture. The same architecture also enables the continuous execution of security updates and patches of the operating systems without service interruption.
