Purposes of the processing
- Your personal data will be processed for the organization, participation and implementation of events, programs and courses of the Language Center. The data is collected for the purpose of participant administration and enables the archiving of services rendered and certificates.
- The data is also used to inform course graduates about the availability of their diplomas and certificates and to send them course codes and information for further courses, as well as to inform them about events related to the course.
- The data is also used to inform participants about canceled events or changes. Data such as the results of placement tests and the history of course attendance etc. are also used for the purposes of counseling and placement in the courses.
- In the case of resit examinations, UNIcert examinations or examinations in the DSH program, language proficiency certificates or applications for free places / places, e.g. in third-party funded programs, the data will also be used to check your eligibility.
- In the case of programs such as Tandem-, Buddy- Kassel-Erleben, Sprachen Er-Leben etc., the data is used to enable matching with partners (Tandem- Buddy) or to organize participation in events.
Forwarding within the university
Participants' data will be passed on for administrative purposes within the University of Kassel (e.g. to the Finance or Legal Department for the collection of fees or to the departments to check the legality of the entitlement to an exempt place or for the transmission of examination results).
Disclosure to third parties
The data will not be passed on to third parties outside the university unless expressly requested by the participant. *Data collected in the context of third-party funded projects and linked to reporting obligations are an exception.
Further processing purposes
The data may be further processed (anonymized) for statistical purposes.
The following data is stored by the Language Center:
All event data as well as all data you have provided in the registration form, furthermore all information on placement and counseling (advisor, results and type of my placement test, recommendations made, registration codes etc.) as well as registration and, if applicable, deregistration date.
Furthermore, the status (external user or student / department / employee, / participant in third-party funded project), free place, exchange student (non-degree seeker: yes/no), departmental affiliation, individual budget at the department if applicable, payment status, invoice and registration numbers, information on the fulfillment of the attendance obligation and examination part and individual and overall grades as well as pass/fail.
In the case of intercultural exchange programs such as tandem and buddy programs, personal details such as hobbies and language skills as well as wishes, availability, duration of study, etc. are also collected to enable matching with partners.
Use of video platforms, licenses and other digital media as part of courses and programs
When using online courses, participants agree to accept the data protection conditions of the platforms and courses used by the respective providers.
The University of Kassel assumes no responsibility for the use of data by these providers, nor for the use of online licenses for course materials and digital exercise platforms.
Data processing for participation in third-party funded programs
For participants in courses funded by third-party funds in the DAAD FIT program (Promote Your Career), in addition to the above-mentioned data, further data is also collected to check eligibility for admission to the courses (departmental affiliation, degree program, semester, certificate of enrollment, motivation) information on career planning, as well as wishes regarding the timing and content of the program are collected and stored. The history of program attendance is tracked for each participant.
*The Language Center transmits this data as well as surname, first name and email address to the project management in the International Office and to the third-party funding provider DAAD as part of the reporting obligation.
Duration of storage of personal data/criteria for determining the duration
All master data will be deleted or destroyed upon revocation, but no later than 10 years after the end of the event / program / course (Hess. Immatrikulationsverordnung).
Sensitive data such as application documents, compensation for disadvantages, etc. will be deleted or destroyed no later than 5 years after the end of the event/program/course (§15, para. 2 sentence 2 Hess. Immatrikulationsverordnung).
In the case of special programs such as the Buddy and Tandem Program, Languages and Kassel Experience Program, etc., the data will be deleted upon revocation, but no later than 5 years after the end of participation.
In the context of third-party funded projects, the deletion period is linked to the retention period of the third-party funding provider (e.g. 10-year retention period in the Promote Your Career program)
Right to withdraw consent
- You have the right to withdraw your consent for the future at any time by contacting the named contact person, unless the data has already been anonymized. This does not affect the lawfulness of the data processing carried out on the basis of the consent until the withdrawal.
Consent is voluntary; if consent is not given, there are no disadvantages apart from the fact that participation in events / courses / examinations / programs of the Language Center is no longer possible. With the exception of data linked to the retention periods of the third-party funding provider DAAD, the deletion of data can be requested if consent is withdrawn.

Your further rights
You can exercise the following rights at any time vis-à-vis the named contact person or our data protection officer:
- Information about your data stored by us and its processing,
- Correction of incorrect personal data,
- erasure of personal data concerning you, provided that the requirements for erasure are met
- Restriction of data processing if we are not yet allowed to delete your data due to legal obligations,
- Objection to the processing of your data by us.
Right to lodge a complaint
Finally, you have the right to lodge a complaint with the competent supervisory authority in the event of data protection problems.
