DeepL (machine translation)
Overview
1. basic information
DeepL is used for the automated translation of texts and documents into different languages. It supports university members in the creation of multilingual content in teaching, research and administration.
The use of DeepL is being expanded on a trial basis. As part of a one-year trial, employees of the University of Kassel can use DeepL Pro for translation and DeepL Write Pro for text optimization.
Employees who want to machine translate texts and documents in high quality or optimize them for the intended target groups. Particularly suitable for texts with confidential information.
The IT Service Center (ITS) of the University of Kassel is responsible for the provision, administration and support of DeepL.
2. brief description
- DeepL Pro:
High-quality, data protection-compliant translations without time limits. - DeepL Write Pro:
An AI-supported writing assistant for optimizing style, grammar and spelling in German and English.
The test phase is initially limited until June 2026 and is funded by the Hessian Digital Pact for Universities. Use is free of charge if users provide feedback on use via an online survey.
Alternatively, eTranslation can be used.
3. main functions
Scope of services of DeepL Pro and DeepL Write Pro during the test phase
- High-quality translations in over 30 languages - precise, stylistically appealing and data protection compliant
- Unlimited text translation via copy & paste
- Translation of up to 20 documents per month (e.g. PDF, Word, PowerPoint, text files)
- AI-supported style and language optimization with DeepL Write (for German and English)
- No storage of the entered content on DeepL servers
- Individual glossaries and own style rules can be used
- Integration in Microsoft Word and PowerPoint possible via add-ins
- Use via web browser or DeepL desktop app
4th deployment scenario
- An administrative employee translates internal contract documents securely and efficiently into English with DeepL Pro.
- A research team creates multilingual project documentation for international partners with DeepL Pro - quickly and in compliance with GDPR.
- A course coordinator formulates stylistically improved English module descriptions with DeepL Write Pro.
- A specialist department uses DeepL Write to optimize the language of English-language correspondence.

- Valid UniAccount and employee status at the University of Kassel
- Independent activation in Identity Management (IDM)
6. use and access
In order to be able to log in, a prior license activation via Identity Management (IDM) is required. You can find the instructions for this at Access to DeepL.
Access is valid for the entire test phase until June 2026.

No training courses are currently offered.
9. special notes (data protection, terms of use)
Access to DeepL and the processing of personal data are carried out in compliance with data protection regulations. Confidential information can be processed in DeepL.
Access is only available to university employees and is initially limited until June 2026. Upon activation, users agree to take part in a survey on usage.
