Overview

1. basic information
The ITS backup service enables simple and centralized data backup. Unlike conventional storage media (e.g. USB sticks or external hard disks), the data is stored on a central server with a high storage capacity. The data can be backed up automatically (e.g. daily) or manually using the IBM Storage Protect software (formerly IBM Tivoli Storage Manager (TSM)).
This offer is aimed at all persons who use workstations or servers in the University of Kassel network.
The IT Service Center (ITS) of the University of Kassel is responsible for the provision, maintenance and support of the backup service.
2. brief description
Data backup is carried out according to the so-called client-server principle: special software is installed on the computer whose data is to be backed up (client computer). This software determines which files are to be backed up. The software then transfers these files to a central server where they are stored.
Backup: A backup can be created automatically or manually. The software regularly checks whether files have been newly created or changed. The latest version of a file is always backed up, and four older versions are also saved. A total of five file versions are therefore available for restoration.
Backups: A completed backup is currently stored indefinitely. However, it is recommended that the backup is updated daily to ensure that it is up to date.
Changed files: The system saves a maximum of five versions of changed files: the most recent and four older versions. Older, outdated versions are automatically deleted after 180 days or replaced by newer versions.
Deleted files: Files deleted from the client computer remain on the server for 180 days and are then automatically removed.
The ITS uses the IBM Storage Protect software (formerly known as IBM Spectrum Protect or Tivoli Storage Manager) for data backup. The software is platform-independent and works similarly on different operating systems.
A user-controlled backup can be carried out during the general operating hours of the servers. All backed-up data can be accessed during this period.
The data backup strategies currently used may change in the future, for example due to limited storage capacity.
Storage of files on network drives, which are automatically backed up daily.
3. main functions
Automatic backup: Daily backup at the preselected time
Manual backup: Can be started at any time with a click
Error notification: E-mail for failed backups
4th deployment scenario
- Regular backup of research data Researchers save extensive and sensitive data from experiments on their computers every day. With the help of the automatic backup function, this data is backed up daily on the central backup server to prevent data loss in the event of technical problems or accidental deletion.
- Protection of teaching materials Teachers create extensive digital materials for their courses. All materials are backed up regularly using the manual or automatic backup function. This means that previous versions can be restored at any time if local files are lost or damaged.
5. technical requirements
Connection to the university data network
Installation of the TSM backup client on the computer
6. use and access
In order to use the backup and archive system ISP (IBM Storage Protect), a prior application is necessary (see Applying for backup service: Instructions and notes).

9. special notes (data protection, terms of use)
The backup data is stored exclusively on servers of the University of Kassel and is subject to the requirements of the GDPR and the internal data protection guidelines. Transmission is encrypted and access is restricted to authorized persons. Thanks to regular backups and high reliability, reliable recovery is guaranteed in the event of an emergency.
The backup service is subject to the usage guidelines of the IT Service Center of the University of Kassel and the applicable data protection regulations (GDPR). Only members of the University of Kassel are permitted to use the service in the course of their official duties. Only licensed software solutions are used; details on the systems and licenses used are available on request from ITS.
