Network drives (data storage)

Field of application

Network drives are used to securely store, organize and share files within the university infrastructure. They are suitable for personal work documents as well as for project or workgroup-related collaboration.

Who is it suitable for?

The service is aimed at all persons with a UniAccount - in particular employees in administration, research and teaching as well as students with a set-up home drive.

Responsibility

The provision and administration of the network drives is carried out by the IT Service Center. Responsibility for the content lies with the respective users or assigned directory managers.

2. brief description

Description

Network drives are centrally provided storage areas that can be used via the university network. A distinction is made between personal home drives (H:) and shared network drives for working groups, subject areas or projects. The data is backed up daily and is available via the network regardless of location (also via VPN).

Alternatives

The next.Hessenbox is suitable for spontaneous file sharing or mobile access.

Functions

  • Personal home drive (H:)
    Automatically provided for employees. Can only be viewed by the relevant person. Ideal for business documents.

  • Shared network drives
    Can be set up on request for institutes, departments or projects. Enables specific authorizations for group members.

  • Secure and centralized data storage
    The data is backed up daily across the university and complies with the applicable data protection guidelines.

  • Access via various systems
    Access from the university network or via VPN, can be used under Windows, macOS and Linux.

Practical examples

  • An administrative employee saves her work documents in the home drive, which is automatically connected to the workstation computer.

  • A research team uses a shared network drive for data exchange, application documents and research data.

  • A department manages teaching materials and administrative files via a central network drive with differentiated read and write permissions.

5. technical requirements

Prerequisites

  • Network connection within the university network or via VPN

  • Computer with current operating system (Windows, macOS, Linux)

  • UniAccount for authentication

  • Set up the drive connection (one-time or automated)

6. use and access

Account and login

  • Home drive: Is automatically made available when the UniAccount is created. Access with UniAccount.

  • Shared drive: Must be requested via the IT Service Center. Responsible persons receive administration rights for user management.

No training courses are currently offered. If required, the setup can be supported by the local IT support or the IT service center.

Data protection and security

All network drives are located on the university's internal servers. The data is backed up daily and is reliably protected against unauthorized access. Access is controlled by assigning rights. Use is in accordance with the university's data protection guidelines.

The use of network drives is intended exclusively for business and study-related purposes within the scope of university activities. The applicable IT guidelines and usage regulations must be observed.
