Digitalization Inventory Project

As part of its digital transformation, the University of Kassel conducted a digitization inventory in 2025. The goal of the project is to systematically document existing administrative processes, identify opportunities for digitization, and consolidate these into a strategically aligned roadmap. The digitization inventory helps provide a structured and overarching view of the organization’s digitization projects.

Project Process: From Data Collection to Roadmap Development

The identified digitalization opportunities were then grouped into overarching digitalization projects. In doing so, contextual relationships, synergies, and technical and organizational interfaces were taken into account. To ensure targeted implementation, projects are prioritized in a structured manner based on transparent criteria, such as strategic relevance, benefit to the organization, feasibility, resource requirements, and dependencies.

Based on the high-priority projects, a digitalization roadmap was developed in early 2026. This roadmap outlines the planned measures in terms of both timing and content and serves as a central management tool for implementation. The roadmap creates a sense of commitment, supports coordination among the participating organizational units, and enables a step-by-step, realistic implementation of the digitalization projects. At the same time, it remains flexible so that it can respond to new requirements and insights.

The digitization assessment is intended to be an integral part of a continuous improvement process. It promotes cross-departmental exchange, strengthens a shared understanding of digitization, and lays the foundation for an efficient, service-oriented, and future-proof university administration.


A core component of the project was structured interviews with the administrative departments. At the process level, existing workflows were analyzed, and opportunities for digitization were identified in collaboration with the participating staff members. The focus was on optimizing turnaround times, reducing manual tasks, avoiding media breaks, and improving service quality and traceability. The interviews also made it possible to take technical requirements, dependencies, and framework conditions into account at an early stage
