General information on the maintenance phase

The university faces the challenge of making its processes future-proof, efficient and user-friendly. To achieve this, it is necessary to replace existing 'island solutions' of different software programs and different program generations and to map processes in a uniform system wherever possible.

At present, event management, the register of persons and examination management still run via an older system (HIS-GX/QIS software generation) - known internally as 'HIS-LSF' and 'HIS-POS'.

Applications and student administration already run via HISinOne - also known as "eCampus". The next major step is the conversion of event and examination management. All data from the old systems will be transferred to eCampus. The module or part of the HISinOne system responsible for event and examination management is called EXA, which is why it is often referred to internally as the 'EXA conversion'.

This step ensures the following:

1. standardized database

Currently, different systems often work in parallel, which leads to interface problems and additional work. HISinOne bundles all relevant data in a common structure - from application and enrolment to examination administration, certificate creation, exmatriculation and subsequent alumni services. This reduces sources of error and facilitates the flow of information.

2. increased efficiency and relief

The integration of processes in one system eliminates many duplicate work steps. Standardized workflows speed up processes, save resources and give employees more freedom for content-related tasks instead of routine work.

3. better user experience for students and lecturers

Students and lecturers will benefit from centralized access: Whether organizing studies, registering for exams or retrieving documents - everything will be available in one place in HISinOne. Transparency will increase, service paths will be shorter and communication between the university and students will be easier.

4. future-proofing and further development

HISinOne is a modern, continuously developed system that promptly integrates legal requirements, technical standards and new requirements. This ensures that the university remains flexible and able to act in the long term.

5 Strategic advantage for the university

The changeover is not just a technical measure, but an important step in the digitization strategy. It creates a further improved basis for data-based decisions, for modern university management and for a further improvement in competitiveness in national and international comparison.

In short, the switch to HISinOne is necessary to simplify work processes, ensure data quality, offer students and teaching staff better services and make the university fit for the future.

• eCampus: The central portal of the University of Kassel for studying and teaching - in future the one interface for personal data, events and examinations.
• HIS or HISinOne: University information system also known as eCampus. The "system family" behind many campus processes consists of various modules, e.g. for application and admission (APP) and for the administration of student data (STU), but also for the examination administration system (EXA)
  • EXA: The examination and event management system is a special module in eCampus. In future, the course directory, document procedures, exam registrations/deregistrations, grade booking and performance overviews will all come together here. The old modules HIS-LSF and HIS-POS will be replaced by EXA.
  • APP (HISinOne Application & Admission): Management of applications/admissions (e.g. special applications, waiting time calculation, notifications).
  • STU (Student Management): Administration around enrollment, re-registration, personal data, change of subject, leave of absence, certificates, tuition fees to de-registration.
• LSF (teaching, study and research portal): Online course and person directory - the functions will be provided in EXA in future.
• PRIOS: Document procedure for events.
• POS (examination administration): The old HIS examination module - the functions will be provided in EXA in future.
